By submitting a booking to attend an event organised by Red Hot Media, Marketing & Events Ltd, you accept and agree to the relevant cancellation and no-show policy that we promote as a company. This agreement is to attend the Business Women ConneX conference on 23rd April 2020 at Sandy Park Way Exeter, Devon, EX2 7NN.
The general cancellation and no-show policy is part of the booking process in accepting and submitting a booking form in respect of one or more of our events. Please note that our bookings require payment in advance to secure the booking and which requires full payment on booking and may be cancelled (without a prior notice of default or warning) in so far the relevant (remaining) amount(s) cannot be collected in full on the relevant payment date as stated and in accordance with the relevant payment policy. Cancellation policies may vary according to the notice period issued by us, as the organisers. Please carefully read our policy that we aim to offer a refund or a transfer to another show date if you submit the cancelation request within 48 hours. However, we ask that all cancellations must be submitted in writing as we make every effort to accommodate all the bookings that we receive and appreciate that the person booking and submitting the request may have misunderstood the process but we must clearly request that the person applying understands what he/she is submitting in respect of an application to attend as an exhibitor and that payment will be made as stated. Bookings will not be entitled to any refund of any (non-refundable) prepaid amount unless the person notifies within 48 hours within our cancellation policy in accepting these terms and conditions of submitting their booking form. No refund will be applicable after 48 hrs of submitting the booking form. The Early Bird is available for a limited period and the event organiser reserves the right to amend/change the price without any notification. Please tick the appropriate box on completing the booking form. Your booking form will not be submitted until you have confirmed that you have read the terms and conditions of the booking and payment has been process. An acknowledgement will be emailed on submitting the booking form and an invoice/receipt will be emailed to the email listed address on the booking form.
If you wish to review, adjust or cancel your booking application, please revert to the confirmation email and follow the instructions therein. Please note that you may be charged for your cancellation in accordance with our policy, if the cancellation has been unauthorised within the time limitations or that we are unable to resell the space. A no-show policy means that no refund will be offered or that any monies not process will incur late charges. We recommend that you read the cancellation, (pre)payment and no-show policy carefully prior to submitting your booking application form. Refunds are only available within 48 hours of booking.
NON REFUNDABLE POLICY
We do not refund any bookings outside of the 48 hour period of cancellation.
Payment must be made on submitting the booking form as the booking form will automatically be cancelled without prior notification.
By submitting the booking form, the person acting as the booking agent has accepted these terms and conditions in full and Red Hot Media, Marketing & Events Ltd can amend or change the terms and conditions without any prior notification. The submission of the booking form will clearly state the event’s name and details of the date. Please ensure that you read the information carefully before submitting your booking form and that the information submitted is the person we should liaise with at all times.
Please note that the booking form must be completed correctly and please tick the appropriate box. If you complete the booking form incorrectly, this will automatically be cancelled without any notification. Please read the booking form carefully before submitting. For all queries, please contact us before submitting a booking form to avoid unnecessary delays and cancellations.
We specifically request that any issues relating to a booking application should come to us via email or any queries by telephoning the number displayed on the website. Every enough will be to response to your email within 48 hours. All booking are taken on a first come, first serve basis and we will endeavour to ensure that we are able to liaise with the person or persons who are attending our events and resolve any outstanding queries to a satisfactory conclusion for all interested parties.
By submitting the booking form you agree to submit a risk assessment and you accept the format of the event providing one trestle table and chairs on the day. Roller banners can be displayed and promotion material can be handed out. It is available that the exhibitor provides their own insurance cover for their own stand/space and that they are able to submit both the risk assessment and copy of their insurance cover within 4 weeks of submitting the booking form. It is the responsibility of the named person on the booking form to ensure that all health and safety checks are done prior to the conference opening to the attendees.
If you have a first aider on your stand, please inform us on the day and we can ensure that we are aware of who is around the conference to provide back up, if necessary. Any offers, promotions or selling remain the responsibility of the exhibitor and the conference organiser takes no responsibility for any transactions between the delegate and the exhibitor. The booking provides a trestle table and chairs as part of the booking. Electric must be requested on booking. Exhibitors can provide their own table and chairs on the day providing that they are covered under their own insurance policy.
All exhibitors are expected to follow health & safety guidelines and accept that they are responsible for their equipment/stand/space being set up correctly and any accidents involving inappropriate equipment, will incur a penalty from us as a result.
Set up time is 7am on the day and the conference closes to the delegates at 6pm. Exhibitors must not dismantle their stands until all the delegates have left the venue. Penalties will be issued on the day for failure to respect and follow the requests within the terms and conditions of attending the event. Anyone who acts in a unfavourable manner will be asked to leave the conference immediately. Any issues relating to the setting up on the day must be dealt with before the conference opens to delegates at 8.45am.
At the end of the day. The exhibitor is responsible for clearing and removing all unwanted rubbish and ensuring the space is cleared and tidy. Any damages will be claimed by the event organiser such as damaged to the table or chairs or marks as a result of hanging posters. Please do not use anything on the walls behind but roller banners are acceptable. Any electric being provided must be clearly marked and leads securely placed to avoid any accidents.
Car parking is available and this is at the charges notify on the day at the car park. We are unable to offer free car parking throughout the day.
Public Transport is available to the venue. Please check for timetables for information.
Any food or drink given away as a freebie must be clearly stated and no glass must be used on site to provide drinks. Please ensure that you ask the person if they have any dietary requirements or allergies. This will remain the responsibility of the exhibitor and not the event organiser.
Selling is acceptable on the day and any card facilities must be provided by the exhibitor. We are unable to accept any payments or give any change throughout the day.
Any offers or promotions must be exclusive at the conference and the saving must be available for a comparison to the interested party. Please do not sell anything that can be challenge by visiting the business website. All advertising of any savings must follow the legal requirements.
Exhibitors and delegates are expected to follow the terms and conditions of Sandy Park and respect the facilities at all times. No flammables are allowed on the premises at any time. We operate a non-smoking policy. Children are welcome but we do not provide any childcare facilities and they remain the responsibility of the parent/guardian/adult at all times.
A floor plan will be available online with regular updates and information about the programme of events throughout the day.
Extra tickets can be purchased to be use to for exhibitors own promotion and we encourage that exhibitors purchase these to run their own competitions to assist with achieving the numbers on the day.
Exhibitors are expected to promote the conference via social media links and websites.

The event organisers reserved the right to cancel or decline any application without any reason and will not entered into any discussions concerning this decision. The event organisers reserved the right to remove, or request to dismantle any equipment which is seemed unsafe, inappropriate or causes any offence. A safety check will be done by the event organiser at 8.30am before the conference opens.
